The Challenge
Idaho Transportation Department (ITD) Ports of Entry (POE) play a critical role in regulating commercial vehicle traffic and supporting safe transportation operations across Idaho’s road infrastructure.
Each day, commercial drivers visit Ports of Entry to complete permitting services, update required paperwork, and meet with ITD staff. However, traditional walk-in processes and incomplete documentation often created delays, longer wait times, and inefficient in-person interactions for both drivers and agency staff.
The agency needed a solution that would better organize appointments while helping ensure drivers arrived with the required documentation already reviewed and approved whenever possible.
The Solution
ITD partnered with Tyler Idaho to implement an online appointment scheduling and prequalification workflow designed specifically for Ports of Entry operations.
Using Tyler Idaho’s digital workflow and scheduling capabilities, commercial drivers can now:
- Schedule appointments online
- Select preferred meeting dates and times
- Submit vehicle and permit information in advance
- Upload required documentation for review before arrival
Once submitted, ITD clerks review appointment requests and supporting documents to help verify that drivers are prepared prior to the in-person meeting.
The platform also automates communication workflows by sending appointment confirmations, reminders, and updates through both email and text message notifications. This helps ensure both commercial carriers and POE staff remain organized and informed leading up to appointments.
By allowing documentation review and prequalification before meetings occur, the scheduling system helps reduce delays, minimize incomplete appointments, and improve operational efficiency across Ports of Entry locations statewide.
The Impact
Today, Idaho Ports of Entry process approximately 350 scheduled appointments each month through the online scheduling workflow.
