The Challenge
The City of Rupert Parks and Recreation Department hosts a variety of community programs and sporting activities throughout the year, serving residents of all ages across the community.
One of the city’s most popular seasonal programs is its annual summer swimming lessons at the city pool. Each summer, hundreds of families register children for lessons, creating a significant scheduling and communication challenge for city staff and instructors.
With limited staff resources and a busy seasonal schedule, Rupert needed an easy-to-manage platform that would improve coordination while providing a better experience for families.
The Solution
The City of Rupert partnered with Tyler Idaho to implement an online appointment scheduling solution to support its swimming lesson program. Using Tyler Idaho’s scheduling platform, parents can conveniently register and manage swimming lesson schedules online, while city staff and instructors can coordinate lesson availability, assignments, and scheduling updates more efficiently.
During the summer season, more than 350 children each month use the scheduling system to participate in swim lessons through the city’s recreation program.
The platform also provides built-in communication tools that automatically send:
- Text message reminders
- Email notifications
- Schedule confirmations
- Lesson updates and changes
These automated reminders help families and instructors stay informed and organized throughout the busy summer program schedule.
By modernizing the scheduling process, the City of Rupert was able to simplify administration while improving communication and coordination for participants and staff alike.
The Impact
Tyler Idaho’s scheduling platform provided the City of Rupert with a flexible and cost-effective solution that supports one of the community’s most important youth recreation programs.
The solution helped the city:
- Improve scheduling and lesson coordination
- Streamline communication with families
- Reduce confusion around class schedules and updates
- Support more than 350 swim lesson participants each month
- Deliver modern mobile-friendly services to a largely rural community
The project demonstrates how smaller communities can leverage configurable digital tools to improve citizen services without requiring large internal technology teams or expensive custom software development.
By implementing automated scheduling and notification workflows, the City of Rupert was able to better support the health, safety, and recreation needs of local youth while creating a more organized experience for families and staff.
